MEMBERSHIP TOTALS

The Department of Illinois set our post's goal at 274 members based on the number of members we had registered as of June 19 the previous year.  As of January 25, 2016, we have a total of 277 members listed on our membership register.  Unfortunately, 12 of our members are considered "expired members" meaning their last paid membership year was 2014.  We currently have 221 members registered for the 2016 membership year.  If you are one of the remaining 44 members that have not registered for 2016, please do so as soon as possible.  In addition, we need an additional nine members to register to meet our goal of 274 for 2016.

Renewal Process
:

During each membership year, National Headquarters sends renewal notices in July, October, January, March and May. Sometimes, at a department’s request, a special notice may be mailed in February to boost a department’s renewals.

The accompanying list is the 2019 membership year renewal schedule for transmitting dues to arrive at National Headquarters by the established dates. This schedule will be followed to remove the names of paid members prior to a specific mailing. Using the renewal schedule, National Headquarters extracts unpaid member records, then prints and mails the renewal notices.

Department transmittals received by National Headquarters after the cutoff date will not prevent a subsequent dues renewal notice being generated and sent to the member on the renewal date. To ensure members do not receive additional renewal notices, the post adjutant must mail transmittals to the department two to three weeks prior to the cutoff date.

National sends notices to currently registered members.  Our Post does not send these notices to members.

Member mails their renewals to the Post or renews the membership online.

The Post updates its records and mails membership dues and copies of card to Department.

Post sends member their membership card.

Department receives payment and updates database.

National sends out another round of notices to those who have not had their record updated by the cutoff date.  As a reminder, Department updates records for every member in the state.  This can take some time.

BOTTOM LINE:  If you receive a notice but you know you submitted your payment for membership dues then disregard the notice.  We hope this eases your frustration with the process and saves you some time.

DD FORM 214 IRS REQUIREMENT

Per an IRS requirement for veteran's organizations, we must obtain a redacted copy of your DD Form 214 for our records because at any given time the IRS can audit us.  Unfortunately, if the IRS asks us to provide membership proof and we cannot provide the requested documentation, we can be fined $1,000 a day for each DD Form 214 that is missing.  We currently have 200 plus members in our post and are missing approximately 60 member's DD Form 214's.  This fine would devastate our Post.  If you are unsure of whether or not you have provided the Adjutant with a copy of your DD Form 214 then please contact us at 618-660-6670 and leave a message with your name and phone number and we will return your call or you can send us an email at post58.finance.officer@gmail.com with the same information.
